Cancellation & Refund Policy (All Wildwood Support Packages & 2025 Group Event)
Effective immediately through December 31, 2025 (full-payment model). A new deposit/payment schedule will take effect for Basecamp offerings beginning January 1, 2026.
All cancellation or reschedule requests must be sent in writing (email is fine) and take effect on the date we receive them. All deadlines and times below refer to Pacific Time (UTC − 07:00).
1. Payment Terms (through 2025)
Full Payment Due at Booking: 100% of your trip fee is charged when you reserve your date.
Starting January 1, 2026, Basecamp Adventures will switch to a 25% deposit + balance-due-30-days model. We’ll publish those terms well in advance.
2. Cancellations by You
60+ Days Before Your Date: 100% refund of all fees paid (non-recoverable vendor costs deducted).
7–59 Days Before Your Date: 50% refund of fees paid (vendor costs deducted).
Less Than 7 Days Before Your Date: No refund.
3. Rescheduling & Transfers
Support Packages (Self-Guided, Premium, Fully Guided): One free reschedule permitted per booking (subject to guide/shuttle availability), provided your new date falls within 12 months of the original.
Group Event Tickets: Fully transferable to another participant at any time before the event—just tell us who’s stepping in
4. Provider-Initiated Cancellations
If we must cancel your trip or event due to:
Force Majeure (events outside reasonable control, including wildfires, floods, landslides, government closures, pandemics, etc.);
Unsafe Trail or Weather Conditions;
Lack of Minimum Participants (some guided trips & group events require at least 5 people—we’ll let you know 14 days prior if minimums aren’t met);
you’ll have your choice of:A full refund of all fees paid (no vendor-cost deductions), or
A credit toward any future trip or event with us (valid for 12 months).
5. Travel Insurance Recommendation
We strongly recommend all guests purchase trip or travel insurance to cover:
Last-minute cancellations or delays
Medical emergencies and evacuations
Lost or damaged gear
6. Policy Changes & Notice
This policy may be updated from time to time. The version posted on our website at the time of your booking governs your reservation. Please review it before you book or if your trip is far in the future.
